Exhibiting in Italy: venues, fairs and stand rules

Short answer: Italy's main B2B fair venues are Fiera Milano in Rho, BolognaFiere and Veronafiere, each with its own technical rules on stand height, fire-rated materials, rigging and project approval – for example a 3.50 m standard height at BolognaFiere and a 60-day document deadline at Veronafiere. Venue rules that shape your stand design in Italy

Custom stands fail approval most often on height, fire class of materials, rigging and electrics. These are the rules the venues publish:

Fiera Milano (Rho)

• Maximum heights are set in each event's General Regulations and must be followed.
• Only Fiera Milano may install cables on the halls' fixed structures.
• Stands of 100 sqm or more, or 3.00 m or taller, must submit dimensioned plans, sections and a structural report signed by a qualified professional before set-up; materials must be installed exactly as their approval certificate states.

BolognaFiere

• Standard maximum stand height is 3.50 m including raised floors, lighting, signs and graphics; taller stands are 'Non-Standard' and need approval.
• Non-Standard stands need a design signed by a qualified technician with a calculation report; mezzanines need written approval and may not exceed 60% of the stand area.
• Plastic materials are not allowed unless their Euroclass corresponds to Italian Class 1.

Veronafiere

• Maximum stand height is 5.00 m inside and outside the halls (3 m inside the service centres).
• Walls, curtains and ceilings must be Class 1 (EN 13501-1 equivalent).
• Stand technical documents must be uploaded 60 days before the event starts.

Rules can differ per show: the organiser's exhibitor manual for your fair always takes precedence. We read that manual before the first design sketch, not after.

Shipping a stand from Istanbul to Italy

Customs framework: Türkiye and the EU have been in a customs union for industrial goods since 31 December 1995 (Decision 1/95). Stand materials made in Istanbul therefore move into Italy without customs duty when they travel with an A.TR movement certificate. Since 8 July 2024 EU member states accept A.TR certificates issued electronically with a QR code. (European Commission – EU–Türkiye trade; European Commission – electronic A.TR (2024))

Exhibits that go back home: Products you display and take back to Türkiye can travel on an ATA Carnet (temporary admission for goods at fairs and exhibitions). Consumables and stand parts that stay or are used up on site cannot go on a carnet; they are declared separately. We confirm the right document set with the customs broker for each shipment. Planning timeline for a custom stand in Italy

1. 16–12 weeks before: book space, send us the floor plan and stand number; we propose a design and budget.
2. 12–8 weeks before: final design, structural details for double-deck or rigged elements, material list with fire certificates.
3. Drawing deadline (set by the venue/organiser – see the rules above): submit stand drawings for approval; order electricity, rigging and other venue-reserved services.
4. 4–2 weeks before: production and pre-assembly in our Istanbul factory, then road or sea freight with the customs documents.
5. Build-up days: installation, electrical connection by the venue's contractor, final check with you before opening.
6. After the show: dismantling, return shipment or storage of reusable parts.
